Privacy policy
PADE provides a patient-education video experience on behalf of dental practices. This policy explains what information is handled when you use a practice’s education site and how it is used.
Information we handle
- Practice administrator accounts. For practice and platform staff who sign in: name, email address, and a securely hashed password. Patients do not have accounts and do not sign in.
- Understanding confirmations. When a patient confirms they have understood a procedure video, we record the name they enter, the confirmation statement, and a timestamp, as the practice’s record that the information was reviewed.
- Usage analytics (only with your agreement). Aggregate, non-identifying engagement events (for example, that a page or video was viewed). These contain no patient name or other directly identifying information.
How the information is used
- To deliver the practice’s branded patient-education experience and play its videos.
- To give the practice a record that a patient confirmed their understanding.
- To understand, in aggregate, how the education content is used and improve it.
Service providers
We use a small number of processors to operate the service:
- Mux — secure video hosting and playback.
- Mailgun — transactional email to practice administrators (e.g. password resets).
- Google Analytics — privacy-preserving usage measurement (no patient names), used only if you agree to analytics cookies.
- Heroku & PostgreSQL — application hosting and data storage.
Cookies and storage on your device
We ask for your agreement before storing anything on your device that isn’t needed to run this site. If you decline, the site works exactly as it does otherwise — you can still watch videos and send your details to the practice.
- Analytics cookies (Google Analytics) — measure how the education pages are used, so we can improve them. Provided by Google. Up to 2 years. Requires your agreement.
- Video analytics (Mux Data) — measures video playback and quality. Provided by Mux. Duration of your visit. Requires your agreement.
- Referral marker — records only whether you arrived from a printed QR code, an access code, a shared link, or directly, so the practice can tell which materials work. Stored by us for the duration of your visit and contains nothing about you. Requires your agreement.
- Sign-in session — keeps practice and platform staff signed in. Stored by us, expires with the session. Strictly necessary, so it does not need agreement. Patients do not sign in.
- Your cookie choice — remembers the decision you make below so we don’t keep asking. Stored by us for 6 months, after which we ask again. Strictly necessary to honour your choice.
- Confirmation reminder — if you confirm you understood a procedure, we note that on your own device so you aren’t asked twice for the same treatment at the same practice. Stored by us, only in your browser, never sent anywhere and never used for analytics. We treat this as strictly necessary because it exists solely to deliver the feature you used; if you would rather it were optional, contact us.
You can change or withdraw your decision at any time using Cookie settings in the footer of any page. Withdrawing stops any further analytics collection.
Retention and your choices
Confirmation records are retained as the practice’s compliance record. To ask about the information held about you, to request a copy, or to request deletion, contact us using the details below and we will work with the practice to respond.
